Clubs , areas, divisions and districts form speakers bureaus.
Members are encouraged to participate in them. The more
often members speak outside the club, the better they will
speak, and the more the Toastmasters club will become known in
the community.
At the club level, the speakers bureau is
the responsibility of the Vice President of Education. The Vice
President of Education should appoint an experienced member as
bureau chairman and include that person on the education
sub-committee. This is a great way to use the experience
and talent of a past president.
Speakers bureaus are also formed at the
area and division levels.
This is what you can do to set up a
speakers bureau :
- Decide how large a group can
practically participate in the program
- Select a Chairman
- Establish standards for
participating. Normally, a Speaker should have
completed six manual speeches.
- Explain the purpose of the speakers
bureau to Toastmasters members and invite them to
participate in the program
- When you have enough interested
members, create a promotional pamphlet describing your
speakers bureau. List the available speakers, along
with a brief summary of their speeches
- Distribute the pamphlets. Give
each Toastmaster a few copies - one copy to keep and
the rest for any organization that may use it. Such
pamphlets can also be sent to all local groups that use
outside speakers, such as youth groups, religious
organizations, social organizations, and civic groups.
Follow up with a phone call for better results.
- Contact the news media. Send
them news releases and copy of this pamphlet.
All request for speakers should be handled
by the Bureau Chairman. After the Chairman receives a
request for a particular speaker whose name and subject were
obtained from your speakers bureau pamphlet, the chairman will
- Call the speaker, confirm acceptance
and arrange the engagement
- Call the requesting organization and
confirm the engagement
- Send a short confirmation letter to
the requesting organization, with a copy to the speaker.
A speakers bureau helps make Toastmasters
better know in the community. Although the subject matters
is up to the speaker, the audience should know that it is
a Toastmaster at the lectern. Supply good speakers and
more invitations will follow. Soon the whole community
will know about Toastmasters and its members
